Merge folders and files with Compare Suite

IT specialists who work in teams need to often update project files. As a rule, there is a folder or directory located at a network or remote computer, and different team members regularly update the files in order to have the latest project information.

This is very convenient and time efficient since different team member may work on different parts of projects, for example, web site architecture, contents, graphic design etc. Every day something new appears in the project folder, while existing files may be amended and corrected. In order to keep all team members updated, they are given access to the corporate project folder. This concerns not only IT specialists (it was just a random example) but all employees who work in teams and thus need to stay well informed on new project files.

What is the best way to update files in the two folders? Yes, this is merge or synchronization procedure. Of course, one can manually copy and paste new files, delete unnecessary ones and open existing documents to review changes. However, this procedure will take very much time which is absolutely unacceptable. It is way easier to merge folders using Compare Suite.

One of the positive features of Compare Suite is the possibility to access folders and directories located at remote ftp servers. Of course, to access the folder a user must possess additional information, such as login, password, port number, ftp address etc. Thus, in order to merge folders one should first access the destination directory (whether located at remote PC or at a network computer) and then open a source folder. Depending on the folders size, Compare Suite will need from several seconds to a minute (or more, for extremely large folders) to load all the files. Once this procedure is over, a user will see all differences.

Compare Suite will highlight all difference sand similarities between the folders, i.e. new and deleted files, as well as amended documents. We first recommend manually reviewing changes. It is possible to compare two individual files from different folders, to make sure that changes in the updated files are correct.

Having made sure that files in the destination folder are something you are looking for, it is time to merge the directories. This is also called synchronization process. Just press Synchronize Folders button and follow simple steps suggested by Compare Suite.  The software offers multiple options, including a manual synchronization, in case a user wants to control the entire process. Upon completion of sync process, Compare Suite will report on the job done (total number of files processes, files replaced and files copied). Thus, within a few seconds it is possible to update project files without having to manually copy and modify dozens of documents.

As already said above, it is then possible to compare individual files and generate a comparison report based on comparison results. By the way, reporting and commenting features make Compare Suite a simple but effective communication tool. Just sending a comparison report is enough to instruct a colleague or a team mate.
